Terms & Conditions
These Terms govern access to and use of EventBox, including organizer accounts, event pages, ticketing, payments and event operations tools.

1. Agreement to these Terms
By creating an account, accessing EventBox or using an EventBox event experience, you agree to these Terms and our Privacy Policy. If you use EventBox for an organization, you confirm that you have authority to accept these Terms for that organization.
2. Accounts and security
You must provide accurate account information, use a password that satisfies the security requirements shown during account creation or password reset, keep credentials confidential and promptly notify AXFusion Solutions of suspected unauthorized access. EventBox may require an organizer to verify control of the account email address before granting access and may send a new verification email after a successful password sign-in while verification remains incomplete. You are responsible for activity performed through your account and for assigning appropriate permissions to your team members.
3. Organizer responsibilities
Organizers are responsible for their events, listings, prices, refund terms, guest communications, accessibility, permits, taxes, safety, lawful operation and fulfillment of tickets, sponsorships, merchandise, auction items and other offerings. Organizers must have a lawful basis to upload or process guest and attendee information.
Organizers may add guests whose admission was purchased or arranged outside EventBox and assign those guests to a table or seat. The organizer is responsible for the accuracy of that admission, seating and venue information. When an email address is provided, EventBox may send operational messages needed for the event, including an organizer-initiated reminder to complete ticket checkout, ticket and QR delivery after confirmed payment, seating-assignment information, an organizer-entered venue-change update and an event reminder approximately two days before the displayed event date. Delivery timing is not guaranteed, and guests remain responsible for retaining their ticket and checking the organizer's current event details.
If an organizer lists alcohol or another age-restricted product, the organizer is solely responsible for holding every required license or permit, complying with applicable sale, service, pickup, delivery, advertising, tax, time and location restrictions, and training staff to refuse an unlawful or unsafe handoff. The organizer must mark the item as age-restricted and require an acceptable government-issued photo ID showing the legally required age before fulfillment. EventBox may automatically apply a 21+ safeguard when product wording indicates alcohol, but automated detection is not guaranteed and does not replace the organizer's legal review. A completed payment does not establish age or legal eligibility and does not require the organizer to provide an unlawful sale; the organizer remains responsible for its disclosed refund or cancellation process when service is refused. Organizers must also ensure that the selected payment provider permits the product and business model and must complete any additional provider review.
3A. Free Invitations and RSVPs
EventBox Free Invitations allow a creator to publish one digital invitation, share a public link or QR code and collect responses for up to 25 intended guests without an organizer account or payment card. The creator is responsible for the accuracy and lawfulness of the invitation, event details, uploaded photo and recipient list, and must have the necessary rights and permissions to publish that content. Free Invitations include EventBox branding and may not be used for unlawful, deceptive, harassing or infringing content.
EventBox provides a separate private management link when an invitation is created. Anyone who obtains that complete link may be able to view RSVP names, email addresses, party sizes, meal preferences and messages and may close or reopen responses. The creator must keep the link confidential and promptly contact EventBox if it may have been disclosed. EventBox does not guarantee that a recipient will open an invitation, submit an RSVP or attend the event.
An RSVP may be updated when the same email address is submitted again. Attending party sizes count toward the invitation's displayed limit, and EventBox may reject a response that would exceed it. Unless a different date is displayed, the Free Invitation, its uploaded photo and RSVP records are eligible for permanent deletion 30 days after the event date. Creators should download any information they need before that date.
3B. Event Flyers and Seat Reservations
An authorized organizer may create and publish an EventBox flyer using the event's logo, banner, event details and organizer-supplied message. The organizer is responsible for the accuracy, lawfulness and intellectual-property rights associated with that content. Draft flyers are not intended for public access; a published flyer may be viewed and shared by anyone who obtains its public link or QR code.
For a free event or private celebration, “Reserve My Spot” or “RSVP Now” records an attendance response subject to the capacity selected by the organizer. A reservation confirms intended attendance only; it does not assign a particular table, chair or numbered seat unless the organizer separately makes and communicates that assignment through EventBox Seating. The same email address may update an existing response, and EventBox may reject a response that would exceed capacity.
For ticketless private celebrations, an attending RSVP may be added to the organizer's EventBox guest list so the organizer can manage check-in and separately assign a table or seat. One RSVP for a party may create a guest-list entry for each person included in that party. Declining or reducing the party size may remove the corresponding unneeded guest-list entries.
When active paid tickets are available, the flyer directs the guest to the existing EventBox ticket-selection and secure checkout flow. Opening the flyer or ticket page does not hold inventory. Admission is confirmed only after the applicable payment provider confirms successful payment and EventBox issues or records the corresponding admission. Ticket availability, order limits, refunds and organizer terms continue to apply.
An organizer may instead configure a paid-event flyer to collect guest information before checkout or to collect advance interest for a later ticket sale. Submitting either form is not a ticket, does not hold inventory, does not guarantee admission and does not create a paid seating entitlement. A guest who is sent to checkout must still complete payment successfully to confirm admission.
4. Payments, fees and payouts
Eligible EventBox Pay transactions are processed through Stripe or Square, as selected for the event or transaction, and are subject to that processor's terms, verification requirements and processing fees. The organizer authorizes EventBox to connect to the organizer's processor account, initiate organizer-approved transactions and receive account, transaction, refund and payout-status updates needed to operate the service. Organizers using a connected Stripe account also agree to the applicable Stripe Connected Account Agreement; organizers using Square must comply with their applicable Square agreement.
EventBox and AXFusion Solutions provide event-management and payment-facilitation software; they are not a bank, card network or card processor. Organizers may be required to provide accurate identity, business and payout information directly to Stripe or Square. EventBox does not collect the organizer's raw bank credentials or receive the organizer's gross proceeds for manual redistribution.
Under EventBox's current transaction pricing, the EventBox service fee is 2% for standard processed payments and 1.5% for donations, unless an event-specific contracted rate is displayed for that event. Cash and manually recorded external-card payments have no EventBox transaction fee. Payment-processor fees are separate and are not included in the EventBox percentage. The applicable pricing shown in EventBox or an agreed plan controls if pricing changes. Payout timing can be affected by the payment provider's review, reserves, disputes, refunds or legal requirements. EventBox does not store complete payment-card numbers.
EventBox may grant an event-specific promotional service-fee rate with eligibility dates or other written conditions. Such a rate applies only to eligible transactions created while it is active and does not retroactively change completed orders. EventBox records the applicable fee on each order and may revoke a promotion prospectively if it expires, was issued in error or is used fraudulently.
Organizers may configure ticket promotion codes and automatic quantity discounts for future orders. EventBox validates eligible ticket types, purchase quantity, dates and discount amount during checkout. Unless EventBox expressly shows otherwise, ticket promotions do not stack and the best eligible discount is applied. Organizers are responsible for accurately describing promotions and complying with applicable advertising, pricing, refund and consumer-protection requirements.
5. Auctions and live participation
When an organizer enables public auction registration, a bidder may be asked for a name, email address and mobile number or may verify an eligible Event Pass. Public email registration requires a short, single-use verification code sent to the supplied email address before EventBox creates the bidder session. Codes expire and EventBox may limit or reject repeated requests and attempts to protect the event. EventBox assigns the verified bidder an event-specific number. The verified session is designed to remain available across auction items for that event in the same browser and expires after a limited period; another browser or device may require verification again. That bidder number may appear on the bidder screen, live room display and winner announcement. The shared room display does not show the bidder's name, email address or mobile number; those details and bid history remain available to the bidder where applicable and to the organizer and authorized event team members unless the organizer separately obtains permission to disclose more.
Organizers determine auction eligibility, item descriptions, opening and closing times, minimum increments, smart-closing settings, payment requirements, fulfillment and any event-specific auction rules. The server-recorded bid, closing status and winner record control if a device display is delayed. A submitted bid may create an obligation to pay under the organizer's disclosed rules and applicable law. Organizers are responsible for resolving item, eligibility, payment and fulfillment disputes.
A winning bidder may receive an EventBox Pay request from the organizer. EventBox issues an auction Smart Pickup QR code and short code only after EventBox records the item as paid, including when an authorized organizer records an eligible cash or external payment. Authorized organizers may view the short pickup code and resend the pickup email when necessary. Email delivery may be delayed, filtered or rejected by the recipient's provider. Pickup passes are event- and item-specific, should be kept private and become invalid for another collection after authorized staff mark the item collected. Organizers remain responsible for confirming the winner's identity where appropriate and for the condition and handoff of auction items.
Organizers also control Live Vote eligibility, scheduled opening, duration, automatic closing and result visibility. Public voting without an Event Pass uses an event-specific, server-signed browser session to limit that browser session to one ballot per poll. The session does not ask for a name or email, does not verify a voter's real-world identity and cannot guarantee one ballot per person across different browsers or devices. EventBox may apply network, session and request limits to deter automated or repeated submissions. By enabling anonymous public voting, the organizer acknowledges this limitation and remains responsible for deciding whether that mode is appropriate for the event. When a verified “one human, one vote” outcome is important, the organizer should require an eligible Event Pass and check-in. Server-recorded opening, closing and immutable ballot records control if a device countdown or display is delayed.
An authorized organizer may reset a vote that is not actively open. Resetting permanently removes the recorded ballots and live counters from EventBox's active systems and returns the displayed results to zero while preserving the vote title, candidates, photos, settings and any future schedule. A reset cannot be undone. EventBox retains a limited security audit record identifying the vote, the previous ballot total, the authorized account that performed the reset and the time of the action; the audit record does not retain each voter's selected candidate.
A public donation display may show only aggregate campaign information, including the contribution count, amount raised, campaign goal and percentage reached. EventBox does not display donor names, email addresses or individual donation records on that shared screen.
5A. EventBox Media plans, storage and exports
EventBox may offer Standard, Media Premium and Media Premium Pro features. The price, storage allowance, monthly delivery allowance, export allowance, renewal period and included features displayed on the Subscription Management page at purchase control the subscription. Paid subscriptions renew automatically until canceled through the available billing-management portal. A cancellation normally takes effect at the end of the paid billing period unless law or the displayed checkout terms require otherwise. Premium-only editing, reuse and export features then stop, and covered media normally becomes read-only during the applicable recovery period. EventBox does not promise unlimited storage or unlimited media delivery.
An organizer may download an original uploaded file while it remains available. Exporting a video, presentation or other file created or rendered by EventBox may require an eligible paid plan and consume the displayed export allowance. EventBox may prevent new uploads, streaming or exports after an allowance is reached; EventBox will not assess a paid overage unless the organizer separately agrees to the applicable price.
The current EventBox presentation export is generated locally in a supported organizer browser as a 1920 × 1080 WebM file and may include audio from compatible source videos. Export duration, quality and compatibility depend on the browser, device, source files and available memory. The organizer must keep the export tab open, review the downloaded file and test it on the intended playback system before an event. An authorized export may count against the monthly allowance even if the browser, device or network interrupts completion.
Unless a different date is shown for the event, Standard event media remains normally available through the event and for 30 days afterward, followed by a 7-day recovery period before it becomes eligible for permanent deletion. Media covered by an active Media Premium plan remains available while the subscription is active and within its allowance. After a paid Media plan ends, covered media normally enters a 30-day read-only recovery period. EventBox does not delete media while its event is actively taking place. EventBox will display or send applicable retention information and, when a valid organizer email is available, paid-plan recovery reminders at approximately 30 days, 7 days and 24 hours before eligible permanent deletion, followed by a deletion confirmation. Standard reminders may follow the shorter schedule shown in the product. Organizers remain responsible for downloading files they must retain. Files required for legal, security, payment or dispute records may be retained separately where necessary.
Reusing media across events normally creates a reference to the organizer's master asset rather than a duplicate file. Removing a reference from one event does not necessarily delete the master or its other event references. EventBox will not permanently delete an asset while it is protected by an active paid Media Vault or active-event retention rule. Deletion from active systems may not immediately remove protected backup copies, which expire under their normal security cycles.
6. Refunds, cancellations and disputes
The event organizer establishes and administers the event's customer refund policy unless applicable law requires otherwise. Organizers authorize EventBox and its payment providers to process approved refunds, chargebacks and payment adjustments. Platform and processing fees may be non-refundable to the extent permitted by law and the applicable payment-provider terms.
7. Acceptable use
You may not use EventBox to:
- Violate law, regulation, sanctions or the rights of another person.
- Sell prohibited, fraudulent, misleading or unauthorized goods or access.
- Upload malware or attempt to bypass authentication, authorization or usage limits.
- Interfere with EventBox, its users, payment networks or connected services.
- Scrape, reverse engineer or misuse personal information except as permitted by law.
8. Content and intellectual property
You retain ownership of content you submit. You grant AXFusion Solutions a limited license to host, process, reproduce and display that content only as needed to operate, secure and support EventBox. You confirm that you have the rights required for all event names, images, logos, media and other uploaded content. EventBox software, branding and platform materials remain the property of AXFusion Solutions and its licensors.
9. Third-party services
EventBox depends on third-party services including Stripe and Square for payment and connected-account services, as well as authentication, cloud hosting, storage and email delivery providers. Their own terms, availability and privacy practices may apply. We are not responsible for third-party services outside our reasonable control. Any EventBox rental device or payment terminal remains subject to its rental, acceptable-use, loss, damage, connectivity, return and processor requirements.
10. Availability and changes
We work to keep EventBox reliable, but do not promise uninterrupted or error-free operation. Features may change as the platform evolves. We may suspend access when reasonably necessary for security, maintenance, legal compliance or prevention of harm.
10A. Platform support access
Authorized AXFusion Solutions support administrators may access event configuration, organizer account status, limited payment metadata and customer order information when reasonably necessary to provide support, investigate security or payment issues, enforce these Terms or maintain EventBox. Platform-support access is restricted, authenticated and logged. Support administrators cannot view complete payment-card numbers or processor-held bank credentials through EventBox.
11. Disclaimers and limitation of liability
To the maximum extent permitted by law, EventBox is provided “as is” and “as available.” AXFusion Solutions disclaims implied warranties and will not be liable for indirect, incidental, special, consequential or punitive damages, lost profits, lost data or event disruption. Any aggregate liability will not exceed the amount paid to EventBox for the affected service during the twelve months before the event giving rise to the claim. These limitations do not apply where prohibited by law.
12. Termination
You may stop using EventBox at any time, subject to outstanding payment, refund and record-retention obligations. We may restrict or terminate access for material breach, fraud, security risk, illegal activity or harm to EventBox or others.
